How to invoice as a freelancer

Freelancing is great until it's time to chase money. A clear invoice sent right away is the best way to get paid on time. Here's what works:

  • Invoice as soon as the work is delivered, or on a set schedule (like the 1st of every month) for ongoing clients.
  • Describe the work in plain words. "Homepage redesign, 2 rounds of revisions" beats "Design services".
  • Hourly or flat fee? For hourly work, put the hours in the Qty column and your hourly rate in Rate. For a project fee, use Qty 1.
  • Get a deposit up front on bigger projects (25 to 50% is common), then show it under "Amount paid" on the final invoice.
  • Set short terms. Net 14 or Net 15 is normal for freelancers. Net 30 is fine for bigger companies with set payment cycles.

What to put on a freelance invoice

Your name or business name, your client's company and contact person, a unique invoice number, the date, the due date, an itemized list of work, the total, and how to pay you (bank details, PayPal, Wise, Stripe link). If you're registered for sales tax or VAT where you live, add your tax number in the Notes and the rate in the Tax box.

Frequently asked questions

How do I invoice for hourly freelance work?

Put your hours in the Qty column and your hourly rate in the Rate column, one line per task or week. Add a short description of what you worked on.

Should freelancers charge tax?

It depends on where you live and what you sell. Some services are taxable and some are not, and VAT/GST rules differ by country. Check with your local tax office or an accountant.
