Hourly vs. retainer invoices

Hourly: list each block of work with the date, what you did and the hours. Clients like seeing the detail, and it heads off questions.

Retainer: bill a fixed amount at the start of each month for an agreed scope of work. Anything outside that scope goes on separate lines at your hourly rate.

Project fee: one line per deliverable or milestone, often with a deposit up front.

What corporate clients look for

  • Their PO number, if they gave you one (there's a PO field in the invoice header).
  • The contact person or department to bill, listed under Bill To.
  • Expenses listed separately, with receipts attached if your contract says so.
  • Your tax ID or business number, if they need it for their records.
  • Clear payment terms. Net 30 is standard for most companies.

Getting a client's accounts payable details right the first time can save weeks of back and forth. Ask who invoices should go to before you send the first one.

Frequently asked questions

How should consultants bill for travel?

List travel as its own line item at cost (or as your contract says), and attach receipts if the client requires them.

What payment terms do consultants use?

Net 30 is the most common with companies. Retainers are usually billed at the start of the month and due within 7 to 15 days.
