What to include on a photography invoice

  • The session or event date and location
  • Your package (hours, number of photographers, edited images)
  • Add-ons: albums, prints, second shooter, extra hours, rush editing
  • Travel fees beyond your included area
  • Your retainer or deposit under "Amount paid", and when the rest is due
  • A note on usage rights if you license images commercially

Retainers and payment schedules

Most wedding and event photographers book with a non-refundable retainer (often 25 to 50%), with the balance due a week or two before the event. For portrait sessions, many take full payment at booking. Whatever you do, put it in writing on the invoice so there are no surprises.

For commercial work, spell out the license: where the images can be used, for how long, and whether it's exclusive. Usage fees can be their own line items.

Frequently asked questions

When should photographers send the final invoice?

Many send the final invoice right after booking with the retainer shown as paid, then a reminder before the balance is due. Others send it after delivery for portrait and commercial work.
