How to Get Paid Faster
Late payments are usually fixable. Here's what actually works.
1. Invoice right away
The longer you wait to send the invoice, the longer you wait to get paid. Send it the same day the job's done, or on a fixed schedule for ongoing work.
2. Agree on terms up front
Put payment terms in your quote or contract before you start, so the invoice is no surprise.
3. Ask for a deposit
For bigger jobs, a deposit of 25 to 50% protects you and shows the client is serious.
4. Use shorter terms
Net 15 instead of Net 30 can cut your waiting time in half with many clients.
5. Make it easy to pay
Offer more than one way to pay (bank transfer, card link, PayPal, Venmo, Zelle, check) and put the details right on the invoice.
6. Be specific
Clear line items mean fewer questions. Questions mean delays.
7. Send it to the right person
For companies, ask who handles invoices and whether they need a PO number. A perfect invoice sent to the wrong inbox still doesn't get paid.
8. Send reminders
A friendly nudge a few days before the due date, on the due date, and a week after works wonders. Most late payers simply forgot.
Reminder template:
Hi Sam, just a friendly reminder that invoice INV-0042 for $1,250 was due on November 15. I've attached it again for easy reference. You can pay by bank transfer or at the link on the invoice. Let me know if you have any questions. Thanks!
9. Offer an early payment discount, or charge late fees
"2% off if paid within 10 days" motivates some clients. Late fees motivate others. Just agree on them in advance and check they're allowed where you work.
10. Keep good records
Track what you've sent, when it's due and when it's paid. A simple spreadsheet is enough. Our Excel invoice template is a good place to start.
